Associate Director of Payroll & HRIS


  • Performs and actively manages all activities necessary to process multi-state and multi-schedule payroll in accordance with the College’s pay schedule(s) including: maintaining and updating related-employee records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as garnishments, and documenting and updating procedures.
  • Actively maintains accurate employee records reflective of any changes in employment such as promotions and increases, benefits deductions, etc.
  • Manages vendor relationship with payroll/HRIS provider including customizations, billing reconciliation, support requests, etc.
  • Administers and manages Family Medical Leave Act (FMLA).
  • Coordinates disability benefits in conjunction with employees and insurance carrier.
  • Acts as project manager for payroll/HRIS activities.
  • Ensures compliance with federal and state payroll tax regulations.  Responds to and resolves all payroll tax issues and ensures adequate tax registration and correct tax rates are paid.
  • Oversees quarterly reconciliation and calendar year-end processing of payroll, including supplemental payrolls, W-2 and other tax forms, and other government-required documentation.
  • Serves as the main resource for employees and managers regarding all payroll polices, employee records, and timekeeping matters.
  • Develops internal operating procedures and controls for the processing and distribution of payroll and HRIS management.
  • Acts as the liaison between the employees and our retirement service company.
  • Researches, analyzes, and finalizes annual audits.
  • Creates a culture of continuous improvement that initiates, recommends, and leads improvement projects throughout the year to align payroll & HRIS strategies with overall business objectives working cross-functionally with supervisors, managers, and other stakeholders.
  • Communicates actively with various departments in order to review cross-departmental impacts and reconcile data sharing.
  • Manages data in accordance with the College’s records retention policies and procedures as well as state and federal laws and regulations.
  • Maintains confidentiality of work-related issues, records, and College information.


  • Bachelor’s degree in Human Resources, Business, or Finance preferred.
  • Minimum of five (5) years of relevant work experience in Payroll and HRIS.
  • Experience with 403(b) plan administration preferred or required.
  • Fundamental knowledge of leave administration and disability benefits preferred.
  • Proficiency in Windows operating environment, current Microsoft Office Suite products, Google G-Suite, and Zoom or other web conferencing applications. Advanced skills in Excel preferred.
  • Experience with an HRIS required, Paychex preferred, and the ability to learn and use technologically current applications.


  • Analyze and solve problems within the constraints of College policy and procedures.
  • Maintain a high level of professionalism and confidentiality with all aspects of the job duties.
  • Liaise with internal staff and manage projects as well as work independently in order to meet deadlines in a rapidly changing environment.
  • Display tact, diplomacy, and skill in effectively communicating the policies and procedural guidelines.
  • Work effectively with a wide range on constituencies in a diverse community.


Full-Time/Exempt – Position is currently remote until further notice.

Full vaccination against COVID-19 is required of employees as they cannot enter our facilities, attend meetings or events on behalf of Peirce without it. 


Day, evening, and weekend responsibilities, as required.
